Setup guide
Get EnrollCue running in your HubSpot account in about 10 minutes.
1. Before you start
- Your HubSpot account has workflows: a Professional or Enterprise subscription of any hub.
- Each sender has a Sales Hub or Service Hub Professional or Enterprise seat and a connected inbox (Settings > General > Email).
- Your sequences exist and are shared with the senders who will use them.
- You can install apps in the account (Super Admin, or the App Marketplace access permission).
2. Install EnrollCue
- Click Install EnrollCue (or Install on the HubSpot Marketplace listing).
- Choose the HubSpot account to connect.
- Review and accept the permissions. Some are optional, each for one feature:
- Contact property schemas: lets EnrollCue create and maintain the “Planned sequence” property.
- Leads, Deals, Companies, Tickets (read): needed to use the actions in workflows based on those records.
- Contacts (write): needed for the Unenroll from sequence action (see Unenroll contacts).
- You land on a confirmation page. EnrollCue now appears in your workflows.
3. Add the action to a workflow
- Go to Automation > Workflows, and open or create a workflow based on contacts, leads, deals, companies or tickets.
- Click + to add an action, search for EnrollCue, and choose Enroll in a sequence.
- Under Sequence, choose A specific sequence and pick it, or The sequence stored in a property of the record (see the next section).
- Under Send as, choose A specific user, or An owner property such as Contact owner or Deal owner to send from each record's owner.
- Save and turn on the workflow.
The action returns three outputs you can use in later steps, for example in an if/then branch: Enrollment ID, Error code and Error message. In deal, company and ticket workflows, it also returns Contacts enrolled, Contacts waiting and Contacts failed.
4. Choose the sequence with a property
Instead of one workflow (or one branch) per sequence, let each contact carry the sequence it should receive.
- EnrollCue creates a contact property called Planned sequence, whose options are your sequences. It stays in sync: a new sequence appears within 5 minutes, a renamed one is updated, a deleted one is hidden.
- Set the property with a form, an import, another workflow or by hand, then use The sequence stored in a property of the record and pick Planned sequence.
- You can also use any property holding a sequence ID or a sequence's exact name.
5. Deal, company, ticket and lead workflows
Sequences are always sent to contacts. When the workflow is based on another record, EnrollCue finds the contacts to enroll:
- Leads: the lead's primary contact.
- Deals, companies and tickets: the associated contacts. Under Contacts to enroll, choose All associated contacts, or Contacts with an association label and pick a label (for example Decision maker or Champion).
Each contact is enrolled separately: it gets its own line in the log, counts as one enrollment, and follows the sending limits. Up to 10 contacts are enrolled per record; use a label to target fewer. If the record has no matching contact, the action fails with NO_CONTACT. Each record type needs its optional permission.
Contacts that wait for room in a sender's daily limit are enrolled later in the background; the workflow doesn't wait for them.
6. Unenroll contacts
Add the Unenroll from sequence action to take contacts out of their sequence, for example when a deal moves to a later stage, a ticket is opened or a contact becomes a customer.
- Under Unenroll from, choose Any sequence, or Only a specific sequence: a contact enrolled in another sequence is then left alone.
- It works in the same workflows as the enroll action, with the same Contacts to unenroll setting for deals, companies and tickets.
- The Unenroll status output is
unenrolled,not_enrolled(the contact wasn't in a matching sequence) orpending(HubSpot is still processing it).
How it works. HubSpot offers no way for apps to unenroll a contact directly. HubSpot does unenroll contacts who book a meeting, so EnrollCue briefly logs a meeting called “Unenrolled from sequence (EnrollCue)” on the contact, checks that the contact has left the sequence, then deletes the meeting (it goes to HubSpot's recycle bin). This usually takes a few seconds, and at most a few minutes. Keep in mind:
- The sequence must unenroll contacts who book a meeting, which is HubSpot's default. If the contact is still enrolled after 30 minutes, EnrollCue deletes the meeting and reports
UNENROLL_NOT_CONFIRMED. - Workflows or reports based on created meetings may briefly see this meeting.
- This requires the optional Contacts (write) permission.
7. Sending limits
To protect each sender's reputation, EnrollCue limits how many new enrollments each sender gets per day, in your account's time zone.
- The default is 100 per sender per day. You can change it for the whole account or for each sender, up to 1,000 (HubSpot's own limit), in the console under Sending limits.
- When a sender reaches the limit, the next contacts wait and are enrolled over the following days, in order. The workflow pauses for those contacts and resumes once they're enrolled.
- Remember that each sequence also sends follow-up emails: a sequence with 4 emails multiplies the daily volume.
8. Track enrollments
Open the EnrollCue console in HubSpot: click the Marketplace icon in the top navigation bar, then EnrollCue under your recently visited apps. The confirmation page shown after installation also links to it. You'll find:
- enrollments over the last 30 days and this month's usage;
- the most frequent errors, explained, with what to do;
- configurations paused after repeated errors (for example a sender without a seat), which resume automatically once fixed;
- the log of every enrollment, with links to the contact, the record it came from (lead, deal, company or ticket), the sequence and the workflow;
- the sending limits.
9. Errors and how to fix them
| Error code | Meaning | What to do |
|---|---|---|
SENDER_NOT_ELIGIBLE | The sender can't send sequences. | Give the sender a Sales Hub or Service Hub Professional seat and connect their inbox. |
SENDER_NOT_FOUND | The sender is not an active HubSpot user. | Pick another sender, or check the owner property used by the action. |
PERMISSION_DENIED | The sender can't use this sequence. | Share the sequence with the sender. |
SEQUENCE_NOT_FOUND | The sequence could not be found. | The sequence was deleted, or the property holds a value that matches no sequence. |
SEQUENCE_AMBIGUOUS | Several sequences have this name. | Use the “Planned sequence” property, which stores sequence IDs, or rename the duplicates. |
ALREADY_ENROLLED | The contact is already in a sequence. | A contact can only be in one sequence at a time. |
CONTACT_UNSUBSCRIBED | The contact unsubscribed from sales emails. | Expected: this protects your sending reputation. |
CONTACT_NOT_EMAILABLE | The contact can't receive emails. | A previous email bounced or was marked as spam. Check the address. |
NO_CONTACT | The record has no contact to enroll. | Give the lead a primary contact, or the deal, company or ticket a contact (with the association label chosen in the action, if any). |
INVALID_INPUT | The action is missing a sequence or a sender. | Check the action settings, and that the property used is filled in. |
MISSING_PERMISSION | EnrollCue needs one more permission. | Reauthorize EnrollCue from its console (“Reauthorize”), and accept all permissions. |
NOT_CONNECTED | EnrollCue is no longer connected. | Reinstall EnrollCue. |
EXPIRED | HubSpot stopped waiting for room in the sender's daily limit. | Raise the limit or spread the volume across more senders, then re-enroll the record. |
ENROLLMENT_REJECTED | HubSpot rejected the enrollment. | See HubSpot's message in the error message output. |
UNENROLL_REJECTED | Unenroll action: HubSpot refused the temporary meeting. | See HubSpot's message in the error message output. |
UNENROLL_NOT_CONFIRMED | Unenroll action: the contact was still in the sequence after 30 minutes. | Check that the sequence unenrolls contacts who book a meeting (sequence settings). |
10. Uninstall
Go to Settings > Integrations > Connected apps, open EnrollCue and choose Uninstall. Remove the EnrollCue action from your workflows first, otherwise they will report NOT_CONNECTED. See our privacy policy for what happens to your data.
